Amazon does not take any liability for products that are damaged or lost in the Seller’s premises and will not pay for or entertain any claims for reimbursement from Sellers to that effect. This policy only addresses cases wherein an item that was handed over to Amazon for fulfilment using the Seller Flex program was either not returned to the Seller (lost in transit) or returned by Amazon in an unsellable condition (damaged). In both these scenarios, the Seller Account should have already been debited to pay the customer refund.

Lost item reimbursement

If a Seller Flex – Fulfilled Unit has not been returned to the Seller Account, Amazon will investigate to locate the returned Unit using its internal tracking system. Based on the investigation result, either the Unit will be returned to the Seller Account or the Seller will be refunded in case the Unit is determined to be lost (Seller Account is credited with the evaluated fair market value of your lost inventory, less any applicable Seller Flex and Selling on Amazon fees = Reimbursement Value).

A. Lost Unit Proactive Reimbursements: Effective February 11, 2019, Amazon will proactively reimburse the sellers in following cases.

A1. For all units where the seller was debited for customer refund that are not returned to seller, based on Amazon’s internal tracking systems and processes, even after 30 days from the refund date, Amazon will reimburse seller proactively within 50 days from the refund date.

A2. For units with replacement/exchange, if the original orders not returned to the seller, based on Amazon’s internal tracking systems and processes, even after 30 days from the replacement/exchange ship date, Amazon will reimburse seller proactively within 50 days from the date the replacement/exchange order was shipped.

Note: It is to further clarify that the assessment of delivery status of all return units will be based on Amazon’s internal tracking system and processes. The proactive reimbursements as mentioned in points A1 and A2 above will not be paid out if the delivery status is not ‘lost’ on the basis of Amazon’s internal assessment.

It is the responsibility of sellers to raise reimbursement claims according to point B below in scenarios where either - (i) do not agree with the delivery status provided by Amazon or - (ii) where they are not already reimbursed whereas they believe that it should have been proactively reimbursed.

B. Lost Unit Reimbursement Claim Process: Sellers can raise claims for lost unit reimbursement in two scenarios. Both the scenarios are described in points B1 and B2 below.

B1. The returns delivery status are updated in the returns report on the Seller Flex (SF) dashboard here. Delivery date can be found under ‘Last Updated On’ column in returns report. If a seller disagrees with the delivery status and wants to dispute receipt of returns then seller the seller must raise the claim for all such units within seven days from delivery date.

Note: If the order is shipped before February 15, 2020 and the seller has missed the claim window in B1 then sellers can raise claims for such orders in claim window mentioned in B2 below.

B2. If any of the below conditions (a) to (e) are true then sellers can raise reimbursement claim between 50 – 75 days from refund date or between 50 – 75 days from replacement ship date for units with replacement.

a) Seller does not have access to returns report on the SF dashboard and the seller has not been already reimbursed.

b) The unit level details are missing from the returns report and the seller has not been already reimbursed.

c) The delivery status of the Unit is not updated in the returns report and the seller has not been already reimbursed.

d) The delivery status mentions that item has not been delivered to seller yet and the seller has not been already reimbursed.

e) The Order is shipped before on or before February 15, 2020 and seller could not raise within the claim window mentioned in point B1 above.

Note: It is mandatory for sellers to receive the returns by using Proof of Delivery (POD) tool. The returns received through POD get updated in the POD reports on the seller flex portal. The sellers are expected to ensure 100% adherence to POD grading without which sellers reimbursement claims can be declined.

Damaged and Switcheroo Reimbursement

Applicable for units shipped on or after February 11, 2019.

If a unit has been returned to a seller in an unsellable or damaged condition, Amazon will provide a fixed damage allowance to eligible Sellers depending upon the product category of the damaged Unit. The below tables provides the fixed damage allowance rates for units shipped on or after February 11, 2019.

Reimbursements for Wrong returns (Switcheroo)

Sellers can now raise reimbursement claims to Amazon for products shipped on or after 11th Feb 2019 or losses incurred due to wrong return (or switcheroo return) received from customers. The switcheroo return are cases like fake or dummy product, main unit missing, empty box, and materially different returns. All other types of unsellable returns are reimbursed under fixed damage allowance as defined above.

To be eligible for investigation for reimbursement, sellers must:

  1. Raise the claims within 7 days of returns received by seller.
  2. Submit images of the wrong return received.
  3. Image of packing labels of the return products which contains the order id of the shipment.
  4. Amazon reserves the right to deny any claim filed on orders which are delivered to the sellers in secured tamper evident packaging.

How to file a Switcheroo claim?

  1. Click the form to raise a Switcheroo claim and fill the requested information.
  2. Click the Submit button
  3. Once the claim has been submitted, you will receive an email notification from sf-claim-status@amazon.com. Any future correspondence on this claim should be actioned by replying to this email notification.
  4. You will receive the status of submitted claims within 7 working days in an email from sf-claim-status@amazon.com with subject line "Seller Flex Switcheroo Submissions"
Note: In case there are multiple units in an order ID and all of them were returned as switcheroo, we request you to share a single image with all the different units received. Sellers can mention the number of wrong units received in the comments section.
Note: For any claims on orders in the precious jewelry category, sellers are required to share video recordings which clearly depict shipping and unboxing of the delivered returns. Tracking ID and Order ID printed on the box should be clearly visible on the video.

In addition to the above process, Amazon will identify certain sellers from time to time and notify them to install CCTVs at their premises within 14 days from the date of such notification. The identified sellers can be asked by Amazon to provide CCTV recordings to substantiate their claims.

The CCTV recordings for a claim should cover the following steps for the claimed unit

  • Packing process of the item.
  • Handing over of the package to the carriers.
  • Receiving of the shipment room the carriers.
  • Opening of the return
Note: All the steps should clearly show the product and package/shipping labels to identify the order and shipment details. In case the seller fails to provide the CCTV recordings, the seller claims can be declined for 7 days period. More details will be provided to sellers at the time of notification.

The sellers are strictly advised to raise honest switcheroo reimbursement claims for such returns which fit in the switcheroo returns defined above. The sellers who are identified by Amazon for raising dishonest claims or other malpractices to receive reimbursement will be liable to allow Amazon to clawback last 2 months of switcheroo reimbursement paid to the sellers as a penalty.

Applicable For units shipped between August 1, 2018 and February 11, 2019:

Damage allowance is paid out to Sellers for all Seller Flex shipped orders at a fixed rate for each product type as defined below in the Table A and Table B on a regular interval. The damage allowance is calculated as percentage of the total monthly sales for the Seller Flex Units shipped by Seller in the respective product category. The fixed damage allowance is paid for all kinds of unsellable returns for example, damaged or switcheroo returns. No other reimbursements are paid separately for any claims made by Sellers against individual returns received back from customers except for switcheroo in certain high value products as described below.

Exceptions for switcheroo returns in High Value items: In addition to the applicable damage allowance payable to the sellers as defined in Table A and Table B, the sellers can claim for switcheroo returns for certain high value items. The switcheroo returns include returns which are fake, wrong, materially different, empty box, main unit missing. Below are the items which are eligible for claim under switcheroo reimbursements over and above the damage allowance rates:

  • All items which belong to product subcategories listed in Table B and with selling price above INR 50,000 incl. tax.
  • All items which do not belong to product subcategories listed in Table B and with selling price above INR 20,000 incl. tax.

The exceptions do not apply to the items, which do not meet the above criteria. For all such units, only damage allowance is paid out for all unsellables.

  1. The damage allowance for a given month will be paid by the 15th of the next month.
  2. The damage allowance is paid to you for all kinds of damages caused to the units attributable to Amazon, like damage during transit, original product missing, customer damage, etc.
  3. The reimbursements for switcheroo returns under the clause ‘Exceptions for Switcher returns in High Value items’ will be reimbursed based on seller claims in accordance with the FBA policy for switcheroo returns.
  4. For packages that are lost in transit by Amazon, we will continue to reimburse you based on the investigation process defined in the 'Lost item reimbursement' section above.
  5. For product categories where Amazon has defined a damage allowance in the above table, there will be no reimbursement payouts for returned products graded as unsellable or claimed for reimbursement by the Seller for missing/wrong unit received from customer apart from the exceptions defined for high value items. All grade information captured in the return processing tools will be ignored for these product categories, and in the event that reimbursements are paid out, you authorize Amazon to claw back such reimbursements from the Seller Account.
  6. Damage Allowance does not apply to products under Gift Cards and Precious Jewelry categories.

The fixed rates have been revised for certain categories. The applicable dates for the same have been mentioned in the Table A and Table B itself.

Fair market value estimate

We will consider several factors in our estimate of the fair market value of the item, including your sales history, list price and other sellers’ list prices of the item on the Amazon Site. If we determine that there is insufficient information available to estimate the fair market value of the item, then the Reimbursement Value will be determined based on the applicable Default Reimbursement Value from the table below. In the event that you disagree with our determination of the Reimbursement Value of your item, we may request further evidence of fair market value in the form of a receipt or invoice to facilitate a re-evaluation.

  • If you received reimbursement based on the default category reimbursement value and request a re-evaluation, we may request additional information, such as a receipt or an invoice, from you.
  • For the purposes of computing the reimbursement due to you, in no event will the fair market value for an individual item exceed INR 25,000 for any product categories except 'Consumer Electronics, Mobile Phones and Laptops' and for 'Consumer Electronics, Mobile Phones and Laptops', the fair market value for an individual item will not exceed INR 1,00,000. For individual items with fair market value greater than INR 25,000 or INR 100,000 (as the case may be), we recommend considering third-party insurance. The aforementioned does not apply to reimbursements processed for the loss and damages to customer returned items caused by Amazon.

If we find items in our network that are the same FNSKU and in the same condition as those you reported lost or damaged, we may allocate those items to your inventory in lieu of reimbursement.

If we have previously reimbursed you for lost inventory that is subsequently found, or otherwise determine that the reimbursement was given in error, you authorise us to:

  • Use the found item to satisfy any future claim that you may have for that product, OR
  • Reverse the credit that was applied to your account.

Grade based reimbursements

Effective from September 1, 2016 - July 31, 2018, a grade based reimbursements policy described here will be applied for your customer returned/rejected TVs that are deemed unsellable. As part of this process, we will grade your unsellable TV units and provide detailed information about their condition when they were received at your Seller Flex site. With this grading information, you will be able to make faster and better decisions for recovering value from your inventory.

As part of the inventory grading process for TV units, we will:

  • Perform a six-sided visual inspection to check for scratches or dents or missing accessories or manuals.
  • For open-box TV units, plugin the units to an electricity socket to diagnose the TV unit. Tests are performed to verify basic functional elements like TV panel, TV remote, USB, HDMI, Audio, Video and signal port are in working condition.
  • Perform a visual inspection of the outer packaging, if a TV is returned with the brand seal intact.

Based on the result of this process, we will categorize the TV unit into one of the five grades as shown in Table 1 below and attach a colour-coded sticker on the manufacturer packaging or box to identify the corresponding grade for a unit.

Accessories may be missing or may have functional defects – dead on arrival, unit does not power on, vertical lines on screen, audio port, USB, sensors, remote, etc. not working.Look for a red sticker with the "letter C" on the original package.

Note: Residual value is considered as the potential market value of the damaged or defective product. *Effective reimbursement rate is the rate of reimbursement that Amazon will provide for damages to seller inventory

We will reimburse you based on our estimate of fair market value less Seller Flex and Selling on Amazon fees that are applicable to the item less residual value based on the grade of the item as mentioned in Table 2.
